Privacy Policy

This Privacy Policy explains how Construction Operations Intelligence, a California limited liability company operating as COI Build ("COI Build," "we," "us," or "our"), handles information when you use coibuild.com, the COI Build client portal, and our hosted products and services (collectively, the "Services").

The Services are designed for companies and professionals. If your company provides your COI Build account, your company administrator may manage your account and access.

1. Information we collect

Account and company information. Your name, work email, company, role, login credentials, account settings, invitations, product access, and seat assignments.
Billing information. Your selected products, subscription status, invoices, refunds, and payment-related identifiers. Stripe processes payment-card details; COI Build does not receive your complete card number.
Customer Content. Construction files and information you submit, such as documents, spreadsheets, PDFs, images, audio, notes, templates, schedules, and instructions.
Outputs. Reports, transcripts, summaries, analyses, schedules, and other materials generated from Customer Content.
Usage and security information. IP address, browser and device information, session activity, product usage, errors, authentication events, and security logs.
Communications. Support messages, billing communications, account notices, feedback, and your communication preferences.

2. How we use information

We use information to:

create, secure, and manage accounts;
provide the Construction Narrative Report, Construction Field Report, Construction Schedule Intelligence, and related Services;
process files and generate the outputs you request;
manage trials, subscriptions, seats, payments, cancellations, and refunds;
provide support and send account or service messages;
monitor performance, prevent misuse, and improve the Services; and
comply with law and enforce our agreements.

COI Build does not use Customer Content to train a COI Build general-purpose AI model.

3. Customer Content, AI processing, and intellectual property

Our products may temporarily process Customer Content in application memory, temporary storage, or cloud storage while creating an output. Generated outputs are made available for download. The Services are not a permanent archive, so customers should keep their own source files and downloaded outputs.

Some features use OpenAI for tasks such as extraction, transcription, image analysis, summarization, and report generation. We send only the content needed to provide the requested feature. AI-generated material may be inaccurate, incomplete, or unsuitable and is not treated by COI Build as verified professional work.

Customers and users must complete qualified human review of every report and other output before making any use of it, including before sharing, publishing, signing, issuing, submitting, distributing, or relying on it. To the maximum extent permitted by applicable law, Customer is fully and solely (100%) responsible for reviewing, verifying, approving, and using AI-generated or AI-assisted content and for every decision, action, communication, submission, or consequence based on that content. Additional requirements are stated in our Terms of Service.

This Privacy Policy describes how information is handled; it does not transfer intellectual-property ownership. Customer keeps ownership of Customer Content and, as described in our Terms of Service, owns outputs generated specifically from Customer Content, excluding COI Build software, technology, and pre-existing materials. COI Build and its licensors retain ownership of the Services, software, interfaces, documentation, branding, and related technology.

We share information only as needed to operate the Services, including with:

Google Cloud for hosting, storage, logging, and infrastructure;
Stripe for checkout, payments, subscriptions, invoices, and refunds;
OpenAI for the AI-assisted features described above;
communications and support providers that deliver requested messages;
professional advisers and contractors that support our business; and
authorities or other parties when required by law or necessary to protect COI Build, our customers, or the Services.

We may also transfer information as part of a merger, financing, acquisition, or sale of the business. We do not sell personal information or share it with advertisers for cross-context behavioral advertising.

5. Cookies and similar technologies

The Services use cookies and similar technologies needed for login sessions, security, preferences, and core functionality. Stripe and other providers may use their own technologies on pages they operate. COI Build does not use advertising cookies or cross-site behavioral advertising on the Services.

6. Retention and deletion

We keep information only as long as reasonably needed to provide and secure the Services, maintain necessary business records, resolve disputes, and comply with law. Retention varies by the type of information and the product used.

Deleting a project, clearing a session, or closing an account may remove Customer Content from active systems, but limited copies may remain temporarily in backups, security records, or provider systems. Account, billing, acceptance, and security records may be kept longer when reasonably necessary.

7. Your choices and privacy rights

You may update certain account information in the client portal. Company owners and administrators may manage users, invitations, roles, products, and seats. You may unsubscribe from optional marketing messages at any time; account, billing, security, and service notices may still be sent while you have an active account.

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information. To make a request, email admin@coibuild.com. We may verify your identity and authority before acting on a request, and some information may be retained where permitted or required by law.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service is completely secure, and we cannot guarantee absolute security. Customers are responsible for protecting their credentials and managing access to their company accounts.

9. Children

The Services are for business and professional use and are not directed to anyone under 18. We do not knowingly provide accounts to children.

10. Changes

We may update this Policy as the Services or our practices change. We will post the updated version with a new effective date and provide additional notice when required.
